Ultrasound probes / Procurement guide

Ultrasound Operating System Compatibility

Prepare an ultrasound operating system compatibility inquiry around the actual receiving device environment recorded by the buyer. Ask the device administrator to identify its software information and document questions. Request a supplier response specific to that record, then return the application documents and written replies to the buyer software reviewer.

Receiving device identity

Collect the device name, operating system edition and current software information from the purchasing organization.

Begin with the receiving devices already named in the buyer equipment inventory. Ask the device administrator to provide the operating system edition, application information currently held and device identification photographs. Keep the information for each device together, particularly where different departments maintain different software environments. Send the supplier the environment relevant to the proposed purchase and ask it to reference that environment in its reply. Return incomplete inventory entries to the buyer administrator before asking for a broader document response. For shared receiving devices, ask the buyer administrator to identify who maintains the software record. Include that responsibility in the device inventory and ask the supplier to address the named environment rather than another department device with a similar description.

Application identification

Ask for the application identity, current documentation and proposed distribution arrangements.

Ask which application the supplier proposes to discuss with the identified equipment. Request the application name, document titles and current distribution information in writing. Give the buyer software administrator the application documents before opening detailed questions about institutional deployment. Ask the administrator to identify any missing information about obtaining the application or managing its installation. Keep the application request connected to the proposed item identity, and request a new document index if another application is suggested during the inquiry.

Version questions

Submit the recorded software environment and ask for a written response specific to those versions.

Present the recorded operating system information as a version-specific purchasing question. Ask the supplier to name the device environment it has considered and identify the documents associated with its response. Compare that reply with the buyer inventory rather than copying an answer from another receiving device. Where departments propose different environments, request separate replies. Give each response to the administrator responsible for the named device, and ask that administrator to identify the remaining questions before the equipment quotation is approved.

Institutional software review

Ask the local information technology reviewer to list installation and application management questions.

Ask the institutional information technology contact to prepare its own application management questions. Include the organization requirements for software review and identify the person authorized to consider the response. Forward the questions to the supplier with the proposed application identity, then return the written reply to the same local reviewer. Keep questions about institutional permission separate from questions about the product description. Request additional application documents where the institutional reviewer needs them, and record which document requests remain open before purchasing authorization.

Change management records

Ask how a future operating system change should be raised for document review.

Discuss future software changes as questions to be reviewed rather than assumptions in the original purchase request. Ask the buyer administrator how operating system changes are recorded and who should raise a new supplier inquiry when the proposed environment changes. Request the supplier contact route for that document discussion. Keep the original device environment with the purchase record so a later question can identify what has changed. Ask for a separate written response when considering a revised environment for the same receiving device.

Compatibility reply comparison

Compare supplier replies against the original device inventory and preserve unresolved questions.

Compare the supplier software replies against the actual receiving device record. Ask whether every named environment has its own response and whether the application documents identify the same item as the commercial proposal. Give purchasing colleagues a list of the unanswered software questions and the buyer contacts responsible for them. Request clarification where a reply refers to an environment different from the inquiry. Before authorizing the order, preserve the reviewed device inventory and the corresponding written application responses together in the purchasing file.
